Maintenance proposal: the practical details
Create an asset list where practical. Record the equipment or systems to be considered, their location, available identification details, and any existing service documentation. If information is incomplete, identify the gaps so an initial survey can be discussed.
Describe the support you need. Planned inspections, routine servicing, breakdown attendance, fault diagnosis, and replacement work are different activities. A proposal should explain which are included, which require separate approval, and how replacement parts or consumables are treated.
Ask how visits are scheduled and recorded. Useful reports identify the asset, observations, activities completed, unresolved defects, and recommended next actions. They should also make it clear when access limitations or missing information prevented part of the intended work.
Review the response arrangements in a maintenance proposal carefully. Confirm the hours covered, reporting method, attendance terms and exclusions; the word maintenance alone does not define these obligations.
For background on local building requirements and useful authority links, see the UAE Government building safety guidance. The requirements for your property should be confirmed for its location and proposed work.
The right starting point is a shared understanding of the property and the agreed service scope.
